CLEANING
The Train Workshop is responsible for cleaning all public areas during the exhibition.
Exhibitors are responsible for cleaning stands, podiums, showcases etc. If you prefer the Train Workshop to do the necessary cleaning, the service can be ordered as a technical service. Stand cleaning can only be booked for the entire exhibition period.

Exhibitor lounge
If you need to rest your head and maybe have lunch in more peaceful surroundings, you can use the exhibitor lounge on the 1st floor.
Here we also offer a cup of coffee.

When you have bought food and drinks in the café, you can sit up there and relax a little.
It is also possible to bring a customer up so you can talk a little more undisturbed.

Exhibitor passes
When you arrive at the fair, please report to the reception at the entrance where you will be given your exhibitor cards.
These must be worn visibly, as our staff and guards must be able to see that you are an exhibitor.
It is NOT necessary to register you and your staff in advance.
Just show up.
Nordic Bike Show staff will be at the reception during the following times:
Friday March 6, 2026 between 8 am and 6 pm
Saturday March 7, 2026 between 8 am and 5 pm
Sunday March March 8, 2026 between 9 am and 5 pm

FIRE AND EMERGENCY EXITS
The technical department is at your service to advise you on the optimal use of the event space and the resulting fire regulations.
The following practical rules must be observed at all times:
– Fire and emergency exits must not be blocked without permission from the technical department
– No smoke, steam or odors may be generated
– All flammable materials in the hall must be fireproofed
– Roof structures on stands are not permitted
– The use of open fire is not permitted
– All banners, flags and other flammable materials must be fireproofed
The Train Workshop staff will install fire exit signs as required.

FOOD AND DRINK
Food and drinks are sold at the fair’s cafés.
The provision of food and beverages – including samples to visitors at a stand – requires the prior consent of the organizer.
Even if such consent is given, exhibitors must follow the instructions of the organizer.
If the instructions are not followed, the organizer is entitled to terminate the contract with the exhibitor in question, who must then leave the stand area at his own risk and expense.
Notwithstanding the consent of the organizer, alcohol cannot be served to persons under the age of 18 according to Danish law.

Gates
Always use the gate closest to your stand and remember to unload quickly and then drive away with your van again immediately so that the next exhibitor can get to the gate to unload.
This applies to both loading and unloading.

HANGING EQUIPMENT
The technical department of the Train Workshop is at your service to help with attractive and functional suspension systems.
Signs and similar may not be hung from or protrude from walkways and open areas. Stands may not be erected above the official stand height of 2.5 m in the area without separate permission from both Copenhagen Bike Show and the technical department.
It is forbidden to damage the Locomotive Workshop’s floors, walls, roof structures and materials with screws, drills and nails or in any other way.

Wireless network is available on site.

The password will be provided upon request.
Exhibitors and visitors can make use of wireless internet connection free of charge inside the venue.
However, this service is intended for light use by a significant number of users and occasional connection instability may occur.
A wired connection can be ordered when ordering opens at the end of January.

LIGHT
Lighting can be ordered when it opens at the end of January.
Suspension and adjustment is only handled by the technical department of the Train Workshop.
ALL SPOTLIGHTS IN THE HALL MUST BE FLOODLIGHTS SUPPLIED BY THE TRAIN WORKSHOP.
Spotlight costs DKK 545,- (EUR 75,-) per piece. It is recommended to order 1 spotlight per 3 m2.
If you bring your own spots, these must be pre-approved by the Train Workshop. Contact the technical department about this.
If you haven’t ordered lights online before the deadline of February 9, 2026, you can still do it. Simply go to the office at the entrance and speak to the staff there.

Load on the roof structure
Each collar beam may be loaded to a maximum of 80/160 kg with/without load.
Contact the technical department for assistance before hanging heavy objects.

Opening hours
Friday, March 6, 2026: EXHIBITOR SETUP
Exhibitor access between 8 am and 10 pm
Saturday, March 7, 2026: FAIR
Exhibitor access between 8 am and 5 pm
Guests have general access between 10 am and 4 pm
However, 600 VIP guests have access from 9 am – so you need to be ready at your stand from 9 am
Sunday, March 8, 2026: FAIR AND DISMANTLING
Exhibitor access between 9 am and 10 pm
Visitor access between 10 am and 4 pm
Exhibitors can start dismantling stands and removing products from 4:15 pm and everything must be out of the Train Workshop by 10 pm
However, see the possibility of picking up pallets on Mondays as under “Stand disassembly”

PARKING
Parking at the Train Workshop is paid via app from different providers.
One option is the Easypark app, which can be downloaded here: https://www.easypark.com/en-dk
It is possible to park in the four areas marked in red below:

POWER
Included in your stand rental is a power plug (socket) for regular 230 V, 10 A, as well as your power consumption.
This plug is only intended to handle PCs, phones, TVs and other electronic items with normal (low) power consumption and can draw a maximum of 1800 watts.
The plug can NOT be used for coffee makers, spotlights and other devices that require large amounts of power.
If you need extra power, this must be ordered online when ordering opens at the end of January.

PRODUCTION OFFICE
At the back of the main hall – behind the old steam locomotive – you’ll find the production office.
Here you can order help with hanging banners and other items, as well as extra spotlights and furniture if needed.
Please note that there is a surcharge for ordering during the fair and that the selection of furniture is limited.
It is therefore a good idea to order what you need online when it opens on January 23, 2026.

SECURITY AND INSURANCE
Professional security guards will be present when the fair is closed from Friday evening to Sunday morning.
However, all products, stand constructions and materials are the sole responsibility of the exhibitor and the exhibitor should ensure that they have the correct insurances in place prior to attending the show.

Smoking is not allowed in the Train Workshop and can only be done outside.

SOUND SYSTEMS
As it is not possible to divide the fair into separate sound sections, exhibitors are not allowed to play music.

Stand construction
Exhibitors can enter the fair on Friday, March 6, 2026 from 8 am.
Stand construction must be completed by 10 pm.
It will NOT be possible to build a stand on Saturday.
However, you can of course bring the last few things for the stand when you arrive on Saturday morning.
Delivery of goods to the fair must take place on Fridays.
Make sure you are present in the hall when your goods arrive.
If you want the carrier to put the pallets on your stand themselves, you must clearly label all pallets with stand
number, exhibitor name, contact person and mobile number.
Also remember to read “Fire and emergency exits” for rules on the stand.

Stand disassembly
Exhibitors are not allowed to start packing up their stands until the show closes at 4 pm on Sunday, March 8, 2026, and all stands MUST be packed up and cleared by 10 pm.
However, pallets can be picked up from your stand on Monday, March 9, 2026 between 9 am – 4 pm.
Please note that this costs DKK 2.000,- excl. VAT (regardless of the number of pallets).
The amount will be invoiced and sent from the Train Workshop.
If you want to use this service, simply leave the pallets on your stand and clearly label each pallet with stand number, company, contact person and phone number.
There are technicians and others in the building on Monday March 3, 2025 who pack things up, so it is at your own risk that you can use this option. Neither the Train Workshop – nor Nordic Bike Shows – can be held responsible for the items left in the hall for collection. However, they have never experienced this as a problem.
Remember to bring EVERYTHING with you and tidy up the stand.
There are bins in several places in the hall where you can drop off cardboard and trash.
If your stand is not left completely empty, you will be charged for cleanup.

TECHNICAL SERVICES AND FURNITURE
The Train Workshop’s technical department is responsible for setting up stands, lights, furnitures etc. and is on duty throughout the construction period to advise and assist exhibitors.
The technical department is located at the entrance/ticket sales.
Technical services can be ordered when you receive an email from the order system on January 23, 2026.
Deadline for orders is February 9, 2026 at 8:00 am
The assortment is heavily restricted after the deadline and all orders will be subject to a 20% administration fee/surcharge once the February 9, 2026 deadline has passed.
Orders received during construction cannot be guaranteed in time for the opening of the exhibition.
If you need assistance from the technical department beyond the assistance requested in advance, please contact the technical department. Requested services are invoiced after the exhibition.
A minimum of 30 minutes is billed.
The price is EUR 45,- (DKK 325,-) per 30 min.
If you need forklift assistance, the price is EUR 65,- (DKK 475,-) per 30 min.
The technical department of the locomotive workshop must approve the use of external technical equipment in advance. All specifications prescribed by the technical department must be adhered to.

Test and demo of bicycles
It is possible for exhibitors to set up tents on the grass outside the entrance to Copenhagen Bike Show.
Guests will then be able to use the wide bike paths around the Train Workshop to test the bikes.
Exhibitors are responsible for manning the tent, as well as getting security against theft in the form of passports, driving licenses or similar from the guests who will test bikes.

TRANSPORTATION AND FREIGHT HANDLING
As the Train Workshop is not able to receive shipments to your stand, if they arrive outside the official build-up period and you are not present to receive them, they can be sent to our partner DSV Solutions, who will then receive, register and deliver the goods to the stand.

If you are not able to have your material collected from the venue during the official breakdown period, arrangements should be made to have DSV take it back to their warehouse for further processing from here.
Forklift assistance for unloading and reloading of trucks can also be ordered from DSV – it is recommended to pre book this service to reduce waiting time.
There is no space available at the venue to store empty packing material (boxes, pallets, crates etc.). If you need, DSV offer remove, store and return your empties.

USE OF THE WALLS
It is not allowed to attach anything to the walls that could damage it.
A charge for damaged walls will be enforced.
It is possible to order printed walls. See more under “Walls between stands” further down.

WALLS BETWEEN THE STANDS
By default, all stands are sold as pure floor space.
However, it is possible to install white partitions if desired.
These are 2.5 m high and are joined together with 1 m wide walls.
Another option is to order printed walls.
This can be done when orders open at the end of January.

Waste
Larger bins for cardboard and other waste are placed along the sides of the building.
Small bins for coffee cups, paper, etc. are placed around the hall.
